The Washington State PublicWorks magazine is a chapter-sponsored, quarterly magazine that features articles on major projects, relevant topics, and profiles on industry professionals. We welcome article submissions from our membership and look for every opportunity to showcase our chapter's wealth of knowledge and expertise.
Below are guidelines for submission, including our AI policy. It is the editorial policy of the Chapter to review all submissions and we reserve the right to edit all submissions for grammar, length, factuality, and style.
Submission Guidelines
Article Length
- Feature Article: 1000 - 1500 words
- Article: 500 words
- Kudos: 100 words (or less)

Committee Spotlight Articles
The Committee Spotlight Articles are approved by the Board and rotate per year. They provide committees with an additional way to educate the broader membership on specific topics in their areas of focus. (There are additional Committee Spotlights featured solely on Social Media.) To submit your Committee Spotlight Article, please follow the instructions under "How to Submit."
Unsolicited Articles
We accept unsolicited articles. However, based on the capacity of each issue, we may need to delay unsolicited articles and /or work with you to edit the article's length. Topics should focus on relevant technical or managerial subjects and should not focus specifically on one company or product.
Kudos Wall
We accept brief messages of congratulations or thanks and publish them on the "Kudos Wall." We prefer to have a photo of the highlighted individual or contact info for their marketing/firm representative so that we may ask for a photo.
Chapter Position on AI Use
This policy is considered interim until input from APWA National can be collated into our guidelines.
The Chapter recognizes that Artificial Intelligence (AI) is becoming an increasingly valuable tool for research, editing, and communication. These guidelines are intended to encourage responsible use of AI while preserving the integrity, originality, and professional expertise reflected in the Chapter's publications. They establish consistent expectations for authors, promote transparency and accountability, and ensure that published content continues to represent the knowledge and judgment of our members. All published content remains the responsibility of the named author(s), who are accountable for the accuracy, originality, and integrity of their work. Authors are expected to review and verify all AI-assisted content before submission.
Acceptable Uses
AI tools may be used to assist with the development of Chapter publications in the following ways:
- Brainstorming article topics and ideas
- Developing outlines and organizing content
- Editing for grammar, spelling, readability, and style
- Improving clarity or shortening existing text
- Developing social media posts or promotional content based on published articles
- Generating titles, captions, headlines, or summaries
Unacceptable Uses
To preserve the authenticity and professional expertise represented in the Chapter magazine:
- Published articles must be substantially authored by a human. AI-generated passages should not exceed 100 consecutive words without significant human revision.
- Entire articles or major sections may not be written primarily by AI.
- Authors may not submit AI-generated material as their own original professional expertise or opinion.
- AI-generated information must not be accepted without verification. Authors are responsible for confirming the accuracy of all technical information, citations, quotations, and references.
Human Review
All submissions must undergo meaningful human review before publication*. The submitting author is responsible for ensuring that:
- The article reflects their professional knowledge, experience and opinion.
- Facts, statistics, and references have been independently verified.
- The article complies with all copyright and intellectual property requirements.
*In addition to the author’s review, the Publications Committee—as part of their routine duties—assigns a human reviewer to each article. This review is for clarity, grammar, spelling, readability and use of AI. When substantial rewrites are required or questions arise, the Committee will refer the article back to the author.
Disclosure
Disclosure of AI use is required whenever AI contributes substantively to the development of published content. Disclosure is generally not required when AI is used solely for:
- Grammar and spelling correction
- Copy editing
- Brainstorming
- Creating outlines
- Formatting assistance
- Social media copy promoting published articles
If AI contributes to the wording of a publication beyond routine editing, authors should notify the Publications Committee at submission. If the AI use is not in violation of these guidelines, a disclosure may be added to the article for full transparency.

Editorial Authority
The Publications Committee reserves the right to request clarification on the use of AI in the editorial process and may require revisions or reject submissions that do not comply with these guidelines.
